Approving and Disapproving Proposals

A lab advisor's approval or disapproval of a research proposal plays a large role in the review process. Please be sure to indicate your approval or disapproval for each applicant proposal you receive before the application deadline. If you encounter any problems with accessing the website, please contact afsffp.pmo@sysplus.com.

Award Notifications

Official award notifications are not sent out to U.S. Department of the Air Force Summer Faculty Fellowship Program applicants until Systems Plus has received official instruction from AFOSR to do so. In order to avoid confusion and misunderstandings, please do not discuss the status of the award with applicants until they have received an official offer. Once they have received an offer, they will be instructed to contact you regarding their receipt or declination of the award.

If you believe that an applicant should have received an award offer and you have not been contacted by the awardee, please contact your Directorate Head.

Security Clearance

Please ensure that U.S. Department of the Air Force Summer Faculty Fellowship Program participants have ample time to obtain their security clearance before their arrival at the lab so that they may begin their appointment punctually. If you have any questions regarding your base's security clearance policies, please contact your Directorate Head.

Summer Housing

As Systems Plus does not provide information regarding summer housing accommodations for U.S. Department of the Air Force Summer Faculty Fellowship Program participants, please assist the participants in this matter.

Graduate Students

Graduate students must be enrolled in a master's or Ph.D. program at the time of their nomination. Recent BS graduates are not permitted to participate in the program. Graduate students must also be enrolled in graduate school the semester after their fellowship ends.

Graduate students may not work at the lab unaccompanied by their professor. This means they may not begin their fellowship prior to their professor's arrival; nor may they continue their fellowship once their professor has left the base for the summer. If extenuating circumstances require the faculty member to leave the lab (see "Leave" section below), the student must also take leave during the same time period, or the lab advisor must write to afsffp.pmo@sysplus.com stating that the student will be supervised during the faculty member's absence. All such requests will be forwarded to the AFOSR for further approval.

Official Start Date Form

In order to officially begin their fellowship, U.S. Air Force Research Lab Summer Faculty Fellowship Program participants must submit an Official Start Date Form to Systems Plus. This form must be signed by the lab advisor and lab point of contact. Participants will not begin to receive their stipend payments until this form has been received by Systems Plus.

Changes to Tenure

When filling out the U.S. Department of the Air Force Summer Faculty Fellowship Program application, applicants must include a proposed start and end date, along with the number of weeks they wish to carry out their fellowship. Any changes to the start or end date or the number of weeks--whether prior or during the fellowship--must be approved in writing by the lab advisor and sent to afsffp.pmo@sysplus.com.

Leave

U.S. Department of the Air Force Summer Faculty Fellowship Program tenure is for a continuous period. Consequently, no breaks for leave, such as vacation, teaching engagements, or conferences are permitted. If the lab advisor deems it necessary for the participant to attend a conference because it is related to the summer fellowship, the advisor must write to afsffp.pmo@sysplus.com before the leave is to take place, indicating that the leave is necessary and has been approved by the lab. All such requests will be forwarded to the AFOSR for further approval. U.S. Air Force Research Lab Summer Faculty Fellowship Program  participants should not make arrangements to leave the lab before official approval has been granted and has been communicated by Systems Plus. If the leave is approved, participants will not be compensated for their stipend, temporary moving allowance, or travel expenses during their time away from the lab.
